Sales Quotes & Draft Orders

Save in-progress checkouts as draft orders and send customers PDF sales quotes.

Draft Orders and Sales Quotes let you prepare an order before placing it. A draft order saves an in-progress checkout so you or a colleague can finish it later, and a sales quote turns the cart into a PDF the customer can review and sign. Both start from the same place: the Velocity checkout.

Draft Orders and Sales Quotes are add-on features and are not enabled by default. Reach out to your account manager or MedShift support to enable them for your tenant.

Draft Orders

A draft order is a saved checkout: the cart, addresses, shipping method, and other settings, kept without placing an order. Drafts live on the Orders page: select Drafts, then View All Draft Orders.

Saving a Draft

Start an order as usual and select Save Draft at the top of the checkout page. Give the draft a Name and confirm with Save Draft. Each draft also gets a unique identifier (like D100) and an expiration date. Nothing is placed, reserved, or charged.

Working with Drafts

The Draft Orders list shows each draft's name, identifier, customer, owner, and time until expiration. Edit reopens the draft at checkout, and Delete removes it.

While a draft is open, the Edit Draft menu offers Rename… and Mark as Ready for Review. Marking a draft ready for review flags it in the Draft Orders list, useful when one person builds the cart and another finalizes the order. Drafts expire automatically, and the list shows how long each one has left.

Placing the Order

A draft becomes a real order through the normal checkout flow: open the draft, finish any remaining settings, and place the order. Until then, the draft has no effect on inventory, payments, or reporting.

Sales Quotes

Sales Quotes let you share a priced summary of a cart with a customer before placing the order. Build the cart at checkout as usual, then hand the customer a professional PDF quote they can review, sign, or circulate internally, all without placing an order.

Creating a Quote

Start at checkout the same way you would for a regular order: choose the customer, add items, and set the addresses. When the cart is ready, select Send Quote at the top of the checkout page and choose one of two options:

  • Download as PDF…: save a copy of the quote to share however you like

  • Email to Customer…: send the quote directly to the customer

Send Quote is also available while a draft order is open, so a draft can be quoted, revised, and quoted again without rebuilding the cart.

What's in a Quote

The generated PDF includes everything the customer needs to evaluate the purchase:

  • Customer details, the quote date, and who prepared it

  • A Quote Number derived from the draft order's identifier plus a sequence (for example, D100-006)

  • Bill-to and ship-to addresses

  • Line items with quantities, unit prices, and amounts

  • Subtotal, shipping, tax, and the Quote Total

  • Signature and date lines

Each quote is marked as an estimate rather than a final invoice, noting that prices, availability, shipping, and tax are subject to change.

Quotes and Orders

Sending a quote does not place an order, reserve inventory, or charge the customer. When the customer is ready to move forward, place the order through the normal checkout flow, either from the saved draft or from a fresh checkout.
