Email Communications

Velocity generates emails to notify customers, reps, and internal users about certain events, or to deliver data via the reporting system. Some emails are handled by BigCommerce instead. Below is a breakdown of each type of email communication.

Reply-To Address

When customers reply to emails sent by Velocity, replies are routed to the address you configure under Velocity Settings > General as the Reply-To email. This applies tenant-wide to all transactional emails Velocity sends. It does not affect emails sent by BigCommerce.

Billing Email

Customers can optionally have a Billing email address in addition to their primary email. The primary email continues to receive all customer-facing communications. When a billing email is set, it is CC'd on:

  • Order receipts

  • Manual payment receipts

  • Subscription installment reminders

The billing email never replaces the primary email; it is always an additional recipient.

Customer account creation

Recipient: Customer

Trigger: Customer account is created by a Velocity user

Rules:

  • Only sent by the "Send an invitation" option

  • Only sent if the customer-facing storefront is visible

Order receipt

Recipient:

  • Customer

  • Billing email (CC, if set)

Trigger: Order is placed by the customer or by a Velocity user

Rules:

  • Disabled by default

  • Sent by BigCommerce

Manual payment receipt

Recipient:

  • Customer

  • Billing email (CC, if set)

Trigger: Manual payment is made by a Velocity user

Rules: Only sent if the user chooses to send

Subscription installment reminders

Recipient:

  • Customer

  • Billing email (CC, if set)

Trigger: Automatically sent three days prior to a subscription installment

Failed subscription installment

Recipient: Configurable list of users

Trigger: Daily list of failed subscription installments

Overdue terms report

Recipient: Configurable list of users

Trigger: Daily list of overdue terms orders

Rep order approval

Recipient: Commissioned reps

Trigger: Order approval

Rules: Only sent to commissioned reps with a configured email address

Rep order shipment created

Recipient: Commissioned reps

Trigger: Shipment is made

Rules: Only sent to commissioned reps with a configured email address

Recipient: Specific email addresses

Trigger: On demand, or on schedule
